Frequently Asked Questions

Can a vehicle be assigned to more than one driver?
Yes, with the "Pool Vehicle" feature a vehicle can be shared by several users. In that case all authorised drivers are listed on the vehicle card and a record can be kept for each use. Alternatively, by assigning drivers by date you can define different drivers for different periods.
How can I import a fuel card statement?
  1. Get the statement from your fuel card provider in Excel or CSV format
  2. Go to the Fleet → Fuel Logs → Import menu
  3. Upload the file
  4. Map the columns: Plate, Date, Litres, Amount, Station
  5. Check with the preview
  6. Complete the import
Supported formats: XLSX, XLS, CSV. Vehicles are matched automatically by the plate field.
How does the km-based maintenance reminder work?
The system takes the km value of the last fuel record as reference. The remaining km is calculated from the defined maintenance interval (e.g. 10,000 km). When the set threshold is reached (e.g. 500 km left), an activity is created automatically and an e-mail is sent to the person responsible. For this to work correctly it is important to enter the km in fuel records regularly.
How are leased vehicles tracked?
Add leased vehicles like normal vehicles, but:
  • Mark the ownership type as "Leasing"
  • Enter the leasing details in the contract section
  • Record the monthly instalments as a periodic cost
  • Define the km limit and the excess km charge
  • Update the vehicle state to "Returned" when the contract ends
In TCO reports leasing payments are shown as a separate item.
What should I do when a vehicle is sold?
  1. Change the state on the vehicle card to "Sold"
  2. Enter the sale details: date, buyer, sale price
  3. End the current driver assignment
  4. Cancel or transfer the insurance policies
  5. Upload the vehicle documents (sale contract, transfer document)
A sold vehicle keeps appearing in reports but is not counted in the active fleet.
How does the integration with the HR module work?
If the HR module is installed:
  • A driver can also be assigned from the employee record
  • The assigned vehicle is shown on the employee form
  • Licence and SRC details are integrated into the HR documents section
  • When an employee leaves, the vehicle assignment ends automatically
  • Vehicle usage information is reflected in the employee's personnel file
Can I track charging for electric vehicles?
Yes, for electric and hybrid vehicles:
  • Choose "Electric" or "Hybrid" as the fuel type
  • Enter the charging records in kWh
  • Record the charging cost as TL/kWh
  • Consumption metrics are calculated as kWh/100km
  • Km/kWh efficiency is reported automatically
How is a bulk vehicle update done?
In the list view:
  1. Select the vehicles to update (checkbox)
  2. Open the Action → Edit menu
  3. Choose the field to change (category, state, tag etc.)
  4. Enter the new value
  5. Confirm
A bulk update can also be done with an Excel import.
