Overview
SODOO Data Recycle is a safety net that lets you recover data deleted by mistake. It works like the Recycle Bin in Windows - deleted records are not destroyed immediately; instead they are kept temporarily and can be restored when needed.
Easy Restore
Restore deleted records to their original place in a few clicks.
Retention Period
Set how long deleted data is kept.
Per Model
Choose which record types go to the recycle bin.
Data Safety
Protect your data against accidental deletion.
The Recycle Bin
Deleted records are gathered in the recycle bin and managed from there:

How It Works
The process when a record is deleted:
- Delete request: The user deletes a record
- Move to recycle bin: The record is not removed from the database but marked as "deleted"
- Waiting period: It waits in the recycle bin for the defined period (e.g. 30 days)
- Automatic cleaning: When the period ends, or manually, it is deleted permanently
The recycle bin works on the "soft delete" principle. The record stays in the database but is not visible in the user interface. The "Delete Permanently" option does a "hard delete" and removes the data completely.
Supported Models
The recycle bin feature can be used for the following record types:
Some records are deleted directly for system integrity and do not go to the recycle bin. For example: accounting entries (posted), stock movements, audit logs. These records are usually removed by cancellation.
Configuration
You can configure the recycle bin settings in the Settings → Technical → Data Recycle section:
| Setting | Description | Default |
|---|---|---|
| Retention Period | How long deleted records wait in the recycle bin | 30 days |
| Automatic Cleaning | Delete expired records automatically | On |
| Cleaning Time | The hour automatic cleaning runs | 03:00 |
| Notifications | E-mail notification on deletions | Off |
| Permission Check | Require manager approval for permanent deletion | On |
Per-Model Settings
You can define different retention periods for each model:
- Contacts: 90 days (customer data is kept longer)
- Products: 60 days
- Invoices: 30 days (drafts)
- CRM opportunities: 30 days
- Tasks: 14 days
Restoring
To restore a deleted record:
- Open the recycle bin
- Find the record you want to restore (you can use search and filters)
- Select the record (or make a bulk selection)
- Click the Restore button
- Accept the confirmation message
A restored record keeps all the relations it had before deletion. For example, a restored customer's orders, invoices and communication history become visible again.
Permanent Deletion
To delete data permanently:
- Select the record in the recycle bin
- Click the Delete Permanently button
- Read and confirm the warning message
Permanent deletion cannot be undone! The data is removed from the database completely. This operation usually requires manager permission. It may be mandatory at a customer's request under data protection regulations such as the GDPR.
GDPR and Data Protection
The Data Recycle module supports compliance with data protection regulations:
Right to Be Forgotten
Under the GDPR customers can request that their data be deleted. In that case the data is removed completely with the "Delete Permanently" feature.
Retention Policies
Because of legal requirements some data must be kept for a certain time. Per-model retention periods can be set according to these requirements.
Audit Trail
All deletions and restores are recorded in the system logs. Who deleted/restored which data and when can be traced.
Performance Notes
The recycle bin can increase the database size. Things to watch:
- Long retention periods consume disk space
- Many deleted records can affect query performance
- Automatic cleaning should run at low-traffic hours
- Short per-model retention periods are recommended for large databases
Keep the database size under control by deleting permanently from time to time. Especially clean up test data or old records no longer needed.
