Membership and dues management

Member records, dues invoices, payments and the list of members in arrears; reach members by e-mail and SMS in one click.

Membership and dues management is software that runs an association's, foundation's or NGO's members, dues, donations, events, projects and grants in one database. SODOO does this on the Odoo 19 Community core, web-based and bilingual: a person is entered once, and their dues, donations and events show on one record; each project tracks its own income and costs. The data stays on your organisation's server.

Most organisations searching for Membership and dues management describe the same picture: the member list in a spreadsheet, donations on the bank statement, event sign-ups in a form, grant reports in separate files. SODOO brings them into one chain of records: a person is entered once, and their dues, donations, events and volunteer hours show on the same record.

Accounting to donors and funders gets easier: each project collects its own income and costs on an analytic account, and the report is one click away. The data stays on your own server, and personal data is open only to those allowed to see it.

Frequently asked questions

Is SODOO suitable for associations and foundations?

Yes. Member and donor records, dues and donations, events, projects and grants, mass communication and board documents run in the same system. Fields and reports specific to your organisation are tailored.

How are membership dues tracked?

Dues are a product: the member is invoiced, the payment is posted to accounting and unpaid dues are listed. Periodic bulk invoicing and your receipt layout are tailored during setup.

Can we take donations on our website?

Yes. A donation block is added to the website; payment arrives by bank transfer or a configured payment provider, and the donation is posted to the donor's record and to accounting.

How do grant and project reports work?

Each grant or project is an analytic account; expenses, purchases, salaries and income are linked to it. Budget versus actual and income and expense reports come per project.

What is SODOO's licence model — is there a per-user fee?

SODOO's core is Odoo 19 Community and is open source; the modules PORTWARE writes are licensed LGPL-3. No closed-source per-user licence fee is required. The cost is in setup, tailoring, training and support services, quoted to your scope.

Where is our data kept, and whose server is it on?

The database runs wherever you want it: on your own server or on one PORTWARE manages. The schema is open and the whole dataset can be exported at any time. Backups are taken daily and kept on a separate server.

Does it integrate with the other programs we use?

Yes. SODOO exposes REST and XML-RPC APIs and talks to banks, e-invoice providers, e-commerce and shop-floor systems through them. For bulk data, Excel/CSV import and export is available on every screen.

How are training and support provided?

The system ships its own handbook, application guides and per-screen help. On top of that PORTWARE trains the team during go-live and provides upgrades and support afterwards.
